A Case Study: Ronald McDonald House

The
Ronald McDonald House of Corpus Christi, Texas, was using a
manual time clock and paper time cards to track its 15
employees’ time and attendance. The process took two hours
and was prone to manual errors. Lathem Time’s PayClock®
Express reduced the time to 15 minutes, allowing more time
for the business director to focus on other business
functions, such as managing its grants program. The facility
houses 25 families, at little or no cost, whose children are
undergoing medical treatment for cancer and other diseases
at the nearby pediatric hospital.
PayClock Express is an affordable, easy-to-use automated
time and attendance system for small business, featuring an
electronic time clock and Windows®-based software. Employees
clock in and out with proximity badges that use radio
frequencies, so badges last longer than those using magnetic
strips. These badges replace the time-consuming paper punch

record of employee attendance, factoring in wages,
attendance, vacation and sick time, and lunch and break
deductions. In most cases, payroll preparation time is

Problem
The Ronald McDonald House of Corpus Christi had
been using a mechanical time clock and paper time sheets for
its time and attendance needs, said Brandey Albrecht,
business director. “It took two hours to do payroll because
I had to double check time entered on manual time cards and
then key in the hours manually for 15 employees, twice a
month,” Albrecht said. “Also, the old system did not
integrate with our accounting software, QuickBooks.”
Albrecht researched the different systems she found at
Office Depot and learned about the beta test program for
PayClock Express. “I realized PayClock Express was the best
choice,” she said.

One of the most popular features of PayClock Express is
the direct interface to ADP®, Paychex® and QuickBooks®. The
interfaces allow data such as employee hours to be imported
from the PayClock system directly into a company’s preferred
payroll software, eliminating manual data entry errors,
while saving time and money. The new interface provides
businesses the opportunity to implement true
"punch-to-paycheck" systems.
Another popular feature is when employees punch in on the
new PC50 terminal, they are welcomed by a voice that the
administrator can choose to say “hello” and/or “goodbye.”
Audio messages are also provided for Spanish and French,
recognizing growing diversity in the U.S. workforce.
PayClock Express is connected to a user’s PC with a standard
USB port. No additional connections or wires are required.
The onboard USB ports included with the clock allows
customers the ability to add a full range of accessories to
their system, including the new finger sensor (TS-WFS),
allowing employees to punch in by simply placing their
finger on a sensor. Other accessories planned for the PC50
include cameras to capture images of employees as they clock
in, key pads to enter job numbers, department changes and
tips, as well as many other items to aid in managing
employee time and attendance.
