A Case Study: Castlewoods Country Club

When Hurricane Katrina swept through Brandon, Miss. in 2005, it wiped out the three mechanical clocks that Castlewoods Country Club had used to track its employees’ time and attendance. Instead of replacing them with new mechanical clocks, Castlewoods decided to go automated and purchased Lathem Time’s PayClock® Express. As a result, timekeeping tasks dropped from two hours to 15 minutes, allowing Melissa Hall, assistant to the general manager, more time to focus on other business tasks, including membership, event planning and financials.

PayClock Express is an affordable, easy-to-use automated time and attendance system for small business, featuring an electronic time clock and Windows®-based software. Employees clock in and out with proximity badges that use radio frequencies, so badges last longer than those using magnetic strips. These badges replace the time-consuming paper punch time cards used with conventional mechanical clocks.

PayClock Express reduces errors by keeping an accurate record of employee attendance, factoring in wages, attendance, vacation and sick time, and lunch and break deductions. In most cases, payroll preparation time is reduced by at least 50 percent.

Problem

Castlewoods Country Club of Brandon, Miss. had to make a decision after three time clocks were damaged by a power failure by Hurricane Katrina. One of the most popular features of PayClock Express is the direct interface to ADP®, Paychex® and QuickBooks®. The interfaces allow data such as employee hours to be imported from the PayClock system directly into a company’s preferred payroll software, eliminating manual data entry errors, while saving time and money. The new interface provides businesses the opportunity to implement true "punch-to-paycheck" systems.

Another popular feature is when employees punch in on the new PC50 terminal, they are welcomed by a voice that the administrator can choose to say “hello” and/or “goodbye.” Audio messages are also provided for Spanish and French, recognizing growing diversity in the U.S. workforce. PayClock Express is connected to a user’s PC with a standard USB port. No additional connections or wires are required.
